Store documents for a customer, broker, or location on its profile: credit applications, W-9s, notices of assignment, rate confirmations, and more.

Open the documents

  1. Open the company profile.
  2. Click View documents in the page header.
The Documents panel opens on the right. It stays open when you switch tabs. Click View documents again, or the panel’s close button, to close it. Each document shows its type, name, and upload date. The newest documents appear first.

Upload a document

  1. In the Documents panel, click Upload documents.
  2. Pick one or more files. You can upload PDF, JPEG, PNG, XLS, and XLSX files.
  3. For each file, Alvys opens a New document window. Choose a Document Type from the list.
  4. Click Save.
These are the document types you can choose for a company:
  • Bill of Lading
  • Certificate of Insurance (COI)
  • Completed W9 Tax Form (W9 Form)
  • Customer Application
  • Customer Invoice
  • Customer Load Confirmation
  • Customer Rate and Load Confirmation
  • Customer Rate Confirmation
  • Customer Reference Sheet
  • E Signature
  • Invoice
  • Merged
  • Notice of Assignment
  • Operating Authority
  • Receipt
  • Shipping Labels
  • Signed Customer Rate Confirmation
Documents uploaded in the old profile with a custom type keep that type. When you edit one of them, its custom type is still on the list for that document.
You must pick a type from the list. You can’t type your own type name. If you need a type that isn’t on the list, pick the closest one and describe it in the document name, then tell Support which type you need.

Rename or change a document’s type

  1. Open the document’s menu in the Documents panel and choose Edit.
  2. Change the Name, the Document Type, or both.
  3. Click Save.

Download, email, or delete one document

Open the document’s ⋯ menu to Download, Edit, Email, or Delete it.

Work with several documents

In a document’s ⋯ menu, choose Select. Check boxes then appear, and the panel footer shows Grayscale, Merge, and Delete for the documents you checked.

Who can see which documents

Some documents contain rates. You see these only if you have the matching permission:
  • customer rate confirmations and invoices: View Customer Rate
  • carrier rate confirmations and carrier invoices: View Carrier Rate
