💡 If you are new to Driver Settlements, read the Driver Settlements article first, and the Driver Rates, Rules & Plans guide for how rate types and tiers work.

Overview

A statement mileage rate pays a driver per mile on all the miles across a statement, not on each trip by itself. Use it when your pay bands depend on how far a driver ran in the whole pay period — for example, paying a higher per-mile rate once a driver passes 2,350 miles for the week. A trip-level mileage rate such as Loaded Miles only sees the miles of one trip, so its tier bands can never span a pay period. A statement mileage rate adds up the miles of every trip on the statement first, then applies the tiers to that total. It also covers multi-stop and LTL-style runs where you want several trips paid on their combined miles. There are three statement mileage rate types:

Before you start

  • Adding and editing rates requires permission to edit driver rates and pay plans. Generating settlements requires the Pay Driver permission. Contact your Alvys Admin if any action is unavailable.
  • Statement mileage rates are Statement rates. Like Minimum Pay and Statement Bonus, they can’t share a rate policy with trip or time-based pay rates. Put them in their own policy on the driver.

Add a statement mileage rate to a driver

1

Open the driver profile

Go to Drivers and select the driver you want to configure.
2

Go to the Rates section

Scroll to the Rates section on the driver profile.
3

Add the rate

Click Add Rate and choose Total Statement Mileage, Loaded Statement Mileage, or Empty Statement Mileage.
4

Enter the tiers

Enter a single per-mile amount, or add tiers the same way you would on a trip mileage rate. Each tier has a mileage range and a rate per mile. Tiers can’t overlap or leave gaps. The tiers apply to the statement’s total miles, not to each trip.
5

Save

Click Save. The rate appears in the Rates section and applies to the driver’s statements going forward.
A driver can carry more than one statement mileage rate, one of each type — for example, a Loaded Statement Mileage rate and an Empty Statement Mileage rate that pay loaded and deadhead miles at different rates.
A statement mileage rate pays on top of any trip-level mileage rate the driver also has. If a driver has both Loaded Miles and Loaded Statement Mileage, they are paid for the same loaded miles twice. Configure only the one you want, unless you deliberately want both — for example, a statement-level rate used as a top-up bonus.

What gets counted

  • Only trips on this statement. The rate adds up the miles of the trips approved to the statement. It never looks at a previous pay period’s miles.
  • Dispatch miles. Statement mileage uses the trip’s dispatch miles. There is no ELD version of these rate types. To pay on odometer miles per trip, see Pay drivers by ELD miles.
  • It recalculates as the statement changes. When you approve, remove, or move trips between statements, the statement mileage amount updates to match.

Review statement mileage on a draft

1

Open the draft

Go to Accounting > Driver Settlements, open the Drafts tab, and select the driver.
2

Find the Statement mileage rate section

The Statement mileage rate section sits directly below Trips. Expand it to see each statement mileage line with its description and amount. The description shows the statement’s total miles and the tier that applied.
3

Check the total

The Approved Items panel includes a Statement Mileage row, so you can see the amount alongside the rest of the draft.
If the draft has no statement mileage yet, the section shows No statement mileage rate applied. Click Add to open New Transaction with the next available statement mileage type selected. To change or remove a statement mileage line on a draft, use the row’s menu. Edit changes the line. Unapprove removes the line from the draft.
A statement mileage line can be $0 — for example, when the driver’s total miles fall below the first paid tier. The line still appears on the draft so you can see the rate was checked.

Where statement mileage appears

  • On the draft: in the Statement mileage rate section below Trips, and as a Statement Mileage row in Approved Items.
  • On the statement PDF: in a Mileage Pay section.
  • In gross pay: the amount counts toward the driver’s gross pay and toward any Minimum Pay floor.
  • In payroll and accounting: the lines post to the same total, loaded, and empty mileage earning codes and expense accounts as their trip-level equivalents.

Troubleshooting

The statement mileage amount is $0

The driver’s total miles for the statement fall below the first paid tier. Check the tiers on the driver’s rate under Drivers > [Driver Name] > Rates.

The amount didn’t change after I added a trip

The trip must be approved to the statement before its miles count. Approve the trip from the Open tab, then reopen the draft.

The Miles total on the statement didn’t change

That is expected. The Miles shown on a statement count trip-level paid miles only. A statement mileage line pays on the statement’s miles but doesn’t add to that total.

FAQs

Q: Can I use a statement mileage rate and a trip mileage rate on the same driver? A: Yes, but they must be in separate rate policies, and the driver is paid for both. See the warning in Add a statement mileage rate to a driver. Q: Can a driver have Loaded and Empty Statement Mileage at the same time? A: Yes. A driver can have one of each statement mileage type. Q: Does a statement mileage rate look at miles from last pay period? A: No. It only counts the trips on the statement it is paying. Q: Can I pay statement mileage on ELD miles? A: Not today. Statement mileage rates use dispatch miles only.
