This article explains the specific reasons a load cannot be released to billing or invoiced in Alvys — including load status requirements, missing documents, customer configuration, permissions, and invoicing settings — and the exact steps to resolve each one, including moving a load backward or forward through the billing lifecycle when that’s what you need.

Overview

You try to release a load to billing or generate an invoice, and the action is blocked — or you need to move a load back to an earlier status to fix something after the fact. Common symptoms include:
  • The Release to Billing button is grayed out, missing, or returns an error
  • The Generate Invoice button doesn’t appear on the load — you only see Release or Release to Billing
  • An invoice you generated doesn’t show up in a batch report
  • You need the load to go back to Delivered, Released, or Invoiced — because something changed, or it was invoiced by mistake — and you’re not sure whether you can do that yourself
  • You don’t want the invoice emailed to the customer or sent to a factoring company, and you’re not sure how to get the load to Invoiced status without that happening
This article covers invoice generation, release to billing, status reversions, summary invoicing, TONU loads, supplemental invoicing, and permissions (also referred to as: billing release issues, invoice blocked, can’t release load, Generate Invoice missing, revert load status, un-invoice a load). Match your symptom to the cause below before proceeding to Resolution.

Causes

Only “Release” or “Release to Billing” shows — no “Generate Invoice” option

This is expected, not a bug: Generate Invoice only appears after the load has been released. Releasing moves the load to Released status, and only then does Generate Invoice appear on it. If you’re still seeing Release / Release to Billing, the load hasn’t been released yet.

Load is not in a releasable status

The load must be in Delivered or TONU status before it can be released to billing. Loads in In Transit, Dispatched, Open, or an earlier status will block the release action, as will loads already past release (Released, Queued, Invoiced, Financed, Completed) — those need a status reversion, not a release (see Reversions below).

A stop on the load is not complete

Releasing checks the load’s own stops first. If a stop is still open, the load is not released, and the attempt is reported back to you rather than moving the load forward. A stop counts as complete only when the driver’s Time In and Time Out are both recorded on it.

You (or the load) need a status reversion

This is the single most common reason customers contact Support about billing. If a load already moved past Delivered and now needs to go backward — because of a rate error, a customer change, a document issue, or because it was invoiced too early — see Reversions below.

Changing the customer is only available before the billing phase

The customer on a load can only be changed while the load is in Open, Covered, In Transit, or Delivered status. Once a load reaches Released — or any status after it (Queued, Invoiced, Financed, Completed) — the customer field locks and can’t be edited directly. If you need to change the customer on a load that’s already Released, you have to revert it to Delivered first (see Reversions below), change the customer, then re-release. Missing permissions

Both releasing a load and reverting a load status require the Release Loads permission. If the Release to Billing button or the Revert Status option is missing from the Manage menu entirely (not just grayed out), this is almost always the cause. Check with an Admin, or see Dispatch Permissions for default role assignments.

Missing required documents

Your invoicing settings may require specific documents before a load can be released or invoiced. If a required document is absent, the system returns: “Load cannot be released: missing required documents.” Required document types may include:
  • Proof of Delivery
  • Bill of Lading
  • Customer Rate Confirmation
  • Receipt
  • Scale Ticket
Which documents are required depends on your customer or subsidiary invoicing configuration. By default, only an actual Proof of Delivery satisfies a POD requirement — a Bill of Lading does not stand in for it. A BOL only counts as the POD when the subsidiary has opted in via Use BOL if there is no POD in Invoicing Settings, and only when no POD is uploaded on the load. If both a POD and a BOL are present, the POD always wins. See Invoicing Settings for how to enable the fallback.

Corrupted or empty document file

A document uploaded with a file size of 0 bytes — or one that otherwise fails to open — is rejected during invoice generation, even if the document type appears correctly in the load’s document list.

Document name does not match the required type

Document names must match the type configured as required in invoicing settings. A document uploaded as “Unclassified” when “Customer Rate Confirmation” is required will not satisfy that requirement.

No invoice delivery method configured

Every customer subsidiary must have at least one delivery method selected: EDI, Email, Factoring Company, Online System, or Originals. Without one, invoicing is blocked with: “Missing invoice delivery method(s).”

Missing invoicing email address

If Email is a configured delivery method, the customer record must have a billing contact email address, or delivery cannot proceed.

Missing customer billing address

If you see “Please set customer billing address before proceeding” while generating an invoice, the customer profile is missing its invoicing address.

You don’t want the invoice sent automatically, so you contact Support to move the load to Invoiced

A load only reaches Invoiced status once an invoice has actually been generated and submitted — Support cannot move a load to Invoiced manually ahead of that, to avoid billing confusion. If the real goal is to keep Alvys from emailing the invoice to the customer or sending it to a factoring company, you don’t need Support at all: that’s controlled by the customer’s delivery method, and you can change it yourself. See Generating an Invoice Without Sending It below.

Customer is configured for Summary invoicing

If the customer’s Invoice Type is set to Summary, the Generate Invoice button will not appear on individual loads — summary invoicing is processed through Accounting > Summary Invoicing instead.

Load appears Invoiced but the customer invoice document is missing

A load can show Invoiced because carrier trips were invoiced, while the customer-facing invoicing step is separate and still incomplete.

Invoice not appearing in batch report after rebilling

The load may not have been moved back to Released status before the invoice was changed, or the wrong customer/subsidiary was selected when generating the new invoice. See Reversions below for how to move a load back to Released.

Order number exceeds the 30-character limit

Order/reference numbers are capped at 30 characters; exceeding it can cause errors during invoice generation or EDI transmission.

Supplemental invoice needs a pending change

If a load is already invoiced and you try to generate an additional invoice, Alvys requires a pending change — an unsent customer-billing amount change made after the original invoice was generated and submitted. Examples:
  • Adding a billable accessorial (detention, lumper, layover, etc.)
  • Editing the amount of an existing accessorial
  • Removing a previously invoiced accessorial
  • Changing the customer’s flat/linehaul rate or another billable charge
These create a financial difference for the supplemental invoice to capture. Updating documents, notes, references, stops, or other non-financial load details does not count as a pending change. The original invoice must also already be submitted, and the load/customer must be configured for Supplemental invoicing — otherwise the supplemental workflow won’t trigger.

The load is a special case: TONU or zero-dollar balance

See Special Cases below — each has its own resolution path.

Resolution

Only “Release” or “Release to Billing” shows — no “Generate Invoice” option

You have two ways to release the load, either works:
  1. From the load page: click Manage > Release Load (or Release to Billing). This moves the load to Released status.
  2. From the Invoicing tab: click Incomplete Legs, select the load(s), and click Move to Released.
  3. Once the load is Released, open it again — Generate Invoice will now appear.

Load is not in a releasable status

  1. Open the load from the Load Board and check its status in the load header.
  2. If Delivered: use Manage > Release to release it to billing.
  3. If TONU: it can be released or invoiced directly — no separate release step needed.
  4. If earlier than Delivered (e.g. In Transit, Dispatched): update stop times/statuses so all stops are marked complete, bringing the load to Delivered. Every stop needs both a Time In and a Time Out recorded — a stop missing either will block the release.
  5. If already past release (Released, Queued, Invoiced, Financed, Completed): go to Reversions below — this is not a release problem, it’s a reversion.

Changing the customer is only available before the billing phase

  1. Check the load’s current status.
  2. If it’s Open, Covered, In Transit, or Delivered: change the customer directly on the load as normal.
  3. If it’s Released or later: first check the trip status isn’t Completed (see Released to Delivered under Reversions below), then revert the load to Delivered via Manage > Revert Status.
  4. Change the customer, then re-release the load. See How to Switch the Customer on a Released Load for the full walkthrough.

Missing permissions

  1. Confirm with an Admin whether your role has the Release Loads permission.
  2. If it doesn’t, an Admin can grant it from the role’s permission settings — see Dispatch Permissions.
  3. Note this permission covers both releasing and reverting — granting it fixes both a missing Release button and a missing Revert Status option.

Missing required documents

  1. Open the customer record in Company Management.
  2. Click the Invoicing Settings button (gear icon) for the relevant subsidiary.
  3. Review the required document list.
  4. Open the load’s Documents section and upload the missing document, setting its type to match exactly.
  5. If Proof of Delivery is required and a Bill of Lading is already present, this only satisfies the requirement if Use BOL if there is no POD is enabled for the subsidiary and no POD is already uploaded — otherwise, upload an actual POD. See Invoicing Settings.

Corrupted or empty document file

  1. Open the load’s Documents section.
  2. Identify the file showing 0 bytes, or one that doesn’t open when you click it from the Documents section.
  3. Delete it and re-upload a valid version.

Document name does not match the required type

  1. Open the load’s Documents section.
  2. Identify the mismatched document.
  3. Click Type: under the document name and select the correct file type.
  4. Click Save.

No invoice delivery method configured

  1. From the load, open the customer profile by clicking its name on the Load Details side of the load.
  2. Click Invoicing Settings.
  3. Select at least one delivery method: EDI, Email, Factoring Company, Online System, or Originals.
  4. Save.

Missing invoicing email address

  1. Open the customer profile by clicking its name on the Load Details side of the load.
  2. Enter the billing contact email in the Invoicing Email field.
  3. Save. (Not required if you deliver exclusively via EDI, Factoring Company, Online System, or Originals.)

Missing customer billing address

  1. Click the customer’s name from the load page to open the customer profile.
  2. On the customer profile, find the invoicing address field.
  3. Enter the invoicing address and click Save.
  4. Go back to the load and click Change customer.
  5. Re-enter the same customer’s name and click Save — this re-links the load to the now-corrected profile.
  6. Generate the invoice.
If you get this same error while regenerating an invoice (not generating for the first time), and the load is already in Released, Queued, or Invoiced status, don’t use these steps — contact Alvys Support for help instead.

Customer is configured for Summary invoicing

  1. Open Company Management > Invoicing Settings > Invoice Type.
  2. To invoice per load instead: change Invoice Type to Individual and save — Generate Invoice will then appear on each load.
  3. To keep Summary invoicing: release each load individually from the Load Board, then process the invoice from Accounting > Summary Invoicing.

Order number exceeds the 30-character limit

  1. Open the load and locate the order/reference number field.
  2. Shorten it to 30 characters or fewer.
  3. Save and retry invoice generation.

Supplemental invoice needs a pending change

  1. Confirm the original invoice has already been submitted, and that the load/customer is configured for Supplemental invoicing.
  2. Make a billable change — add, edit, or remove an accessorial, or change the flat/linehaul rate — and save it. Non-financial edits (documents, notes, stops) won’t register as a pending change.
  3. Generate the supplemental invoice from the load; it will capture the financial difference created by that change.

Reversions

Moving a load backward through the billing lifecycle is the most common billing question we get — this section covers each one explicitly.

Released → Delivered

You (with the Release Loads permission) can revert this yourself:
  1. Open the load and go to Manage > Revert Status.
  2. Confirm the reversion. The load returns to Delivered, where you can make changes before releasing again.
This only works if the underlying trip status is not already Completed — that’s tracked separately from the load’s own status, so a load can still show Released, Queued, or Invoiced while its trip has already been marked Completed, and that alone blocks the revert, including when the reason is to change the customer. If you hit this, contact Alvys Support — they can confirm whether there’s a path forward for your specific case.

Queued → Released

Not available in the UI to any user — this requires Support. Contact Alvys Support with the load number. Before making the change, Support will check whether it’s actually necessary, because several common reasons for wanting this don’t require a reversion at all: You don’t need to revert from Queued if you only need to:
  • Adjust the freight rate
  • Add or remove accessorials
(Both can be done while the load stays in Queued or Invoiced.) Reverting from Queued to Released genuinely might be necessary if:
  • The load isn’t ready for invoicing yet and Dispatch still needs to work on it
  • You want to prevent someone else from submitting the invoice while you finish changes
  • You need to change the Invoice As setting (requires Released status)
  • You need to change the customer (only possible in Delivered status or earlier, and only if the trip isn’t Completed — see Changing the customer is only available before the billing phase above)
  • A recent invoicing-settings change needs to apply, and it only takes effect from Released

Invoiced → Queued or Released

Non-factoring: not self-serve — contact Alvys Support with the load number if the load was invoiced incorrectly (wrong amounts or details) and needs to be reverted. Factoring: revert requires coordination, because the factoring company already has the invoice:
  1. Confirm with your factoring company that they’re aware of the issue and have removed the invoice from their batch.
  2. Click Manage > Revert factored load.
  3. Once removed, regenerate the invoice and submit it in a new batch to send to your factoring company.
If you only need to adjust the rate or add a charge after submission to factoring, do not revert — click Regenerate invoice, go to the Documents tab, and either email the invoice directly from there or download the PDF to send to your factoring company yourself.

Financed or Completed

Not reversible under any circumstance. If you believe there’s an error on a Financed or Completed load, contact Alvys Support to discuss options — a reversion is not one of them.

Moving a load back to Invoiced after a revert

This is what “I need this load moved back to Invoiced” usually means: the load was already invoiced once, then reverted for some reason (a rate fix, a customer change, an added accessorial), and now needs to go back to Invoiced.
  1. Simply regenerate the invoice and click Submit Invoice — this moves the load back to Invoiced automatically. That’s the whole fix for most cases; confirm the correction is saved first if you reverted it to make one.
  2. Factoring: if the load was submitted to factoring, confirm with your factoring company that they’ve removed it from their batch, click Manage > Revert factored load, then regenerate the invoice and Submit Invoice in a new batch to your factoring company.
  3. If you don’t want to regenerate the invoice at all — you just want the status pushed back to Invoiced without creating/resubmitting an invoice — that’s not self-serve: contact Alvys Support. A load can’t be moved straight to Invoiced without an actual invoice behind it, so this always needs a person to do it manually.
  4. If it still doesn’t appear in your batch report after submitting, confirm the load actually reached Released status first and that the correct customer/subsidiary is selected.

Support-only reversions: what Support checks first

For any reversion that requires Support (Queued → Released, a non-factoring Invoiced reversion, Financed, or Completed), expect Support to first confirm the change is actually needed — not to delay you, but because several of the scenarios above don’t require a reversion at all. Having the load number and a one-line reason ready (e.g. “customer changed, need to update before invoicing”) speeds this up.

Generating an Invoice Without Sending It

Some customers don’t want Alvys to email the invoice, or send it to a factoring company, automatically — and contact Support to try to move the load to Invoiced manually instead. You don’t need Support for this: a load can’t move to Invoiced until an invoice has actually been generated and submitted (that’s a deliberate guardrail against billing confusion), but you control whether that submission sends the invoice anywhere by choosing the right delivery method.
  1. Open the customer profile from the load (click the customer’s name on the Load Details side of the load).
  2. Click Invoicing Settings.
  3. Under delivery method, select Online System or Originals instead of Email, EDI, or Factoring Company.
  4. Generate and submit the invoice as usual. Alvys won’t send it anywhere — but the load still moves to Invoiced automatically, exactly as it would with any other delivery method.
Online System and Originals both mean Alvys won’t auto-send the invoice; they differ only in how you deliver it yourself, outside Alvys:
  • Online System: you generate the invoice in Alvys, then upload it manually to the customer’s billing portal.
  • Originals: you generate and print the invoice, then mail the physical documents to the customer.

Special Cases

TONU loads

Loads in TONU (Truck Ordered, Not Used) status can be invoiced directly without being released first, and skip document requirements like Proof of Delivery and Receipt, since no delivery occurred.

Closing a load with a zero-dollar balance

To close a load on the billing side when the customer owes nothing:
  1. Generate an invoice for the load as normal.
  2. Apply a manual payment of $0.
  3. The load automatically moves to Completed status.

If That Didn’t Work

If you’ve confirmed: the load is Delivered or TONU, all required documents are uploaded with correct names/types, at least one delivery method is configured, Invoice Type is correct, and permissions are in place — and the issue still persists, contact Alvys Support with the load number and the exact error message.

FAQs

Q: How do I revert a Released load, and who can do it? A: Use Manage > Revert Status on the load. You need the Release Loads permission — if the option isn’t there, that’s almost always why. Q: The Release to Billing or Generate Invoice button isn’t there at all — is that a bug? A: Almost always one of two specific causes, not a bug:
  • Release to Billing missing: your role doesn’t have the Release Loads permission. Ask an Admin to check it on your role — see Dispatch Permissions for default assignments. This is the same permission that controls reverting a status, so if Release to Billing is missing, Revert Status usually is too.
  • Generate Invoice missing: the customer is configured for Summary invoicing. Open the customer profile (click its name on the Load Details side of the load) > Invoicing Settings and check Invoice Type — if it’s set to Summary, invoicing happens through Accounting > Summary Invoicing instead, not on the individual load.
If you’ve checked both and the button is still missing, contact Alvys Support with the load number. Q: What counts as a “pending change” for a supplemental invoice?
